Export the Receive Inventory Table to Excel

This tutorial shows you how to export your receive inventory table to excel.

This is a very valuable tool to be able to use so that you can pull information from the inventory and look at it in an excel file. So this is useful for any sort of exportation of a huge amount of sale items or if you are just taking a look at your whole warehouse in one file and looking for information you need or may be trying to find some issues. In the example here, we have selected receive inventory because we can have separate excel sheets generated.

1.  Navigate to Inventory > Receive Inventory.

The Receive Inventory page will be displayed.

2.  If you scroll to the bottom, in the left side of the screen, you notice there are two export buttons.   

  • Export Fixed Columns to .xls – A fixed column is defined as anything that is shown here in receive inventory all the time. So when you export that item, you will get the Model, SKU, Serial number, Manufacturer, PO# attached. Basically this is an overview of generic information about an item. So that would be exported in it. When done, it creates a fairly small, in this case, with these 4099 items, it made a 3 MB file.
  • Export All Columns to .xls – You need to be careful with this, and should only be clicked when you really know what you are doing, because it will take a long time to export and it will get exponentially longer the more items and categories you have in your system. Like, we have 4000 items right now; if you had a quarter million items, it would take an unbelievable amount of time to generate this list, because it will use every single column that is applicable. If you have a piece of CISCO equipment, it might have a category selection such as expansion cords included, where you can say that it has a module for this or a module for that. So you would wind up having that column for every single item. In case of laptops, there may be a column for a track pad condition. Even that column would be exported as well. So if you have around 100 different categories, you are going to have columns from every single one of them exported to this sheet. So it will take a very long time. In our case, it is being a 13 MB file and is more than 4 times as large as the simple fixed column.

3.  In the example here, Export Fixed Columns to .xls()is clicked.

The system will pull, download and export the file for viewing.

4.  When you click Export All Columns to .xls, you will be able to view it. But it would be a very large file, and difficult to manipulate. However it can be used to put things in the pivot tables and you can ignore certain columns. It is also useful when you like to have a complete overview of the entire inventory.

The receive inventory table will be exported and saved to your computer.
