Sales orders

The main purpose of sales order is to allocate requested items and ship them to the customer.

List of all Sales order could be found on Sales → Sales Orders page

On this page user could see grid with all Sales Order. For each SO he could see next information (grid columns)

  • SO number
  • Date - creation date
  • Customer
  • Order Status (pending approval /approved/fulfilled/canceled)
  • Order type - read more info about Sales order types
  • Shipping state (pending/partially shipped/shipped) 
  • Invoice
  • Paid date
  • Qty Allocated
  • Available
  • Price (total price)
  • PO (linked PO)
  • Attachments (invoices)
  • Ecommerce
  • Channel (magento store)
  • Ebay order
  • WarehouseId
  • Customer Email


SO may be generated in 5 different ways: 

1) Manually

2) From Sales Quote (>Sales Quotes)

3) Import from Magento

4) Automatically when user press settle for settlement with negative price

5) From client portal. SO with "Requisition request" type will be created


For each SO available next actions:


  • Approve - change status for SO to approved. Doing shipping SO an available. Note that not all user roles are allowed to Approve SO with “0” terms. These permissions are described in here
  • Cancel - change status to Cancel. Only SO without paid invoice could be canceled. When user cancel SO - all items returns back (you can see them in unallocated grid)
  • HOLD ORDER - if user hold the order it become uneditable until user Hold OFF it 
  • Generate picklist - this option available only for Pending Approval and Approved SO and if it was not generated before.
  • Pick List - old version of picklist
  • Create RMA - RMA is available when we have at least one shipped shipping and at least one item that not included in another RMA. learn more about RMA
  • Load Location - allocate items from selected location
  • Create invoice 
  • Delete
  • Export (to excel)
  • View Items - by clicking this button user will see all list of allocated items.
  • Import from excel

Settings, that could be configured in the Settings→System settings


In the system settings we coould configure next options:

1) Show HECI (show/hide HECI fileds over grid with unaccolated items) - if heci is specified, the items only with this heci are available

2) Show customer&location of unallocated sales order itmes

it will show/hide Vendor and Warehouse columns in the unallocated grid 

RMA

Rma can be created after items were shipped. If item is not in Rma already, you can create RMA for it. This means that one sales order may have zero or many RMAs.

If the item was returned by RMA- it should be in "RMA returned" status in the SO


Pay attention, when SO marked as SOLD - for all sold items system will clear location
